Job Summary: You join a dynamic team and oversee daily office operations, support the smooth and effective functioning of our office with a positive mindset.
Key Responsibilities:
1. Office management
• Be the first point of contact for our employees and visitors, ensuring a welcoming and efficient
working environment
• Follow up on visitors and general activity of the office (catering for lunches, afterworks)
• Coordinate services provided to the staff (well-being and fitness area) for the best possible
experience
• Support the team in the follow-up of renovation works in our premises
• Travel management
• Follow up on support and projects in the other EPEX European offices (travels required)
2. Security and sustainability
• Ensure the offices are compliant with local Health & Safety legislation norms and implement any
corrective measures to comply with legal, regulatory or contractual obligations
• Update safety and security documentation
• Manage security contracts, coordinate evacuation drills tests and other security trainings
• Support the Head of Facilities & Sustainability manager for the update of sustainability reporting
3. Management and negotiation with suppliers/providers
• Verify the adequacy between the contract or specifications and the services provided
• Negotiate contracts, reply to tenders
• Manage relationships with landlord together with the Head of Facilities & Sustainability manager
• Supervise the reception desk by coordinating with the supplier and training external receptionists
• Ensure expenditures (actuals) remain within applicable and appropriate budget
• Check and validate invoices, proceed to regular reporting
Key Requirements:
Hard Skills:
• Knowledge of office administrator responsibilities, systems, and procedures
• Ability to discuss technical issues with relevant suppliers
• Good negotiation skills
• Creative mind with an ability to suggest improvements
• Proficiency in MS Office
Soft Skills:
• Service-oriented mindset
• Analytical thinking
• Strong organizational and planning skills with ability to multitask and prioritize work
• Attention to detail and problem-solving attitude
• Very good written and verbal communication skills in French and in English
Education and Experience:
• Bachelor’s degree in or a related field
• Proven experience as an Office Manager, Front Office Manager, Events Manager or Administrative Assistant.
Language Skills:
• Fluent in English (written and verbal).
• Knowledge of French, Dutch, or German is considered a plus.
